About the Opportunity

Methanex is currently seeking an experienced Executive Assistant to join our team in Medicine Hat, Alberta, on a full-time basis.

The Executive Assistant role provides support to the Plant Manager, Stakeholder Relations Manager and the Site Management Team members at Methanex Medicine Hat. The incumbent ensures all required business administration needs are met for the efficient operation of the Plant Managers’ office, Stakeholder Relations team, Senior VP Manufacturing and Senior Advisor Projects. The incumbent also provides support to other areas of the business on an as-needed basis as it relates to the Administration building.

Your other responsibilities in this role will include:

  • Preparing and/or overseeing the development of various reports and updates on the Plant Manager’s behalf.
  • Ensuring the weekly bulletin information is gathered, assembled, and distributed by 4 pm every Tuesday.
  • Preparing and maintaining Site Management Team agendas, minutes, action logs and business in a timely manner.
  • Managing the Plant Manager’s calendar to ensure proactive focus on management of appointments, deliverables, agendas and other business requirements of the Plant Manager.
  • Providing administrative support to the Site Management Team, as required.
  • Processing expense reports and travel arrangements.
  • Monitoring/managing associated budget lines for the department.
  • Participating in and is a valued member of the Medicine Hat Plant Emergency Organization as the “Scribe” with the Incident Command System.
  • Managing and facilitating visits and meetings by global teams/visitors. 
  • Providing administrative support for internal and external stakeholder meetings, visits, tours and events, including preparation of agendas, minutes, action logs and other documents as required.
  • Developing correspondence (letters, reports, graphs, schedules, etc.).
  • Administering the Medicine Hat and Stakeholder Relations intranet pages, Medicine Hat methanex.com webpages, and on-site digital screens, including content development.
  • Administering the promotional items inventory (tracking and maintenance). 
  • Providing support for the development of presentations and graphic materials.
  • Maintaining the digital content management on MIKE (internal site) and SharePoint as well as hardcopy filing systems.
  • Providing accounting support (requisitions, budget reporting, reconciliations). 
  • Developing videos and taking photographs as required.
  • Recording and tracking departmental training, ensuring compliance.
  • Supporting the Board Report and other required reports for the Senior VP Manufacturing.
  • Supporting Global Manufacturing Team (GMT) meetings, as requested.
  • Maintaining supplies and service for copying machines in the Administration Building.
  • Assisting with the construction and furnishing of new offices in the Admin Building.
  • Managing the office stationery budget and distributing mail twice per week.
  • Networking with other Methanex sites to the mutual benefit of all sites.
  • Organizing and participating in higher-level Computer Training, including in Microsoft Excel, Word, Power Point, and Publisher as well as advanced Outlook training.
  • Providing back-up coverage for the site receptionist, as required.
  • Effectively communicating current activities and policies
  • Ensuring implementation of and compliance with all Methanex HR policies and procedures, including performance optimization.
  • Assisting designated legislative compliance contact person with responsibility for ensuring legislation in area of expertise is complied with and proposed changes/updates communicated, including provincial and federal lobbyist reporting for Stakeholder Relations.
  • Contributing to the organizational vision of Global Methanol Leadership and as a team member, demonstrating the core values of integrity, trust, respect, and professionalism.

In order to qualify for this role, you will need at least 3 years of experience working in an Administrative Assistant role, along with an Administrative diploma from a recognized post-secondary institution. An equivalent combination of education and experience may be considered. 

You'll also need the following accreditation, knowledge and experience:

  • Exceptional written and verbal communication skills.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Publisher) and Adobe (Acrobat, Photoshop).
  • Understanding and experience related to government and public relations, and social responsibility are preferred.
